City Council Announcements

A. For Your Information:

1.   FYI- District-specific Videos

Staff is working with IMS on brief, 2 minute videos of each of the seven Council Districts. The videos will provide an introduction to each Council Member and highlights from each district, such as prominent parks, neighborhoods, business nodes, community gathering places, etc. The plan is to have Council Members narrate as footage of the district plays. Molly will be in touch with you to share scripts, ideas and set up a time for you to record your narration. Ms. Gust-Jenson said they had the District specific videos of each District that they were trying to get done of each District.  She said the Members liaison would be in touch with them.

 

B. Information needed by Council Staff:

 

1.   Tentative April 15, 2014 Council Meeting

Are Council Members in favor of meeting on April 15th for an additional Work Session and Formal Meeting?  See Additional Announcements for decision.

 

2.  Special Audit Services RFP  (Attachment) View Attachments

Attached is a draft RFP for Council Review for special audit services.  The Council typically will contract with anywhere from one to three audit firms so that they are “at the ready” to respond to Council audit inquires on a more efficient basis.  The current firms have contracts that will expire this August, so the Council may wish to get started with advertising a new RFP now to allow for time to get new firms on board.  The term of these contracts is usually 2 years with three one-year extensions possible. 

 

 

Ø Please let staff know if you have any areas of interest that you would like reflected in the RFP or if there are any changes you would like to make.  If no changes are requested, Council Staff will proceed with issuing the RFP.  Ms. Gust-Jenson said they had  an auditing contract that was kept in place so they could have three or four audit firms at the ready when the Council wished to do a management audit. She said there had been three firms over the years and that contract has now run out.  She said they needed to issue the RFP again to get firms back in place.  She said the current contract went thru August so audits could be done thru August. She said the Council could take a look at the RFP draft and let staff know if they felt like anything was missing.

A.   2:10:49 PM Tentative Work Session Meetings April 15th & 29th , 2014

 

Are Council Members in favor of meeting on April 15th & April 29th for additional Work Sessions to clear out some pending items?  Council Members were in favor of meeting on April 15th and 29th, 2014 from 2:00 p.m. to 6:00 p.m. for Work Sessions only.  Councilmember Luke said he would get the agendas out to the Council so they could see what was scheduled.  Ms. Gust-Jenson said the Mayor’s Budget Address would possibly be held on May 6th and there were two Council Members who would be out of town that night. She said they would make extra efforts to keep everyone in the loop for all three meetings.

 

B.   Ride the HIVE Press Event and District Competition

 

Staff participated in a coordination meeting last week about the District Competition for the HIVE Pass. The Administration provided the following information:

      Admin would like to offer a briefing/info to Council Members to answer any Hive details. Helen would like your suggestion how this might offered: i.e. work session briefing, small group briefings or any method you feel appropriate.

 

      Promotion kits will be available for Council Members.

 

      Contest to run April 3 to June 3rd.   More mobile sales sites are planned for May only, one in each district (each District has had one already). April would be gear up time. Setting up additional mobile sites or changing the overall process has logistical challenges.

 

To kick off the event, information, the Administration is organizing a press event for Thursday April 3 at 1 p.m. (Please see corresponding “Clipboard Announcement” to indicate Council Member availability.)  All invited and probably all invited to speak.  Presser at 1:00 pm  Cindy Gust-Jenson said the Council Members had talked about having a district competition about signing up members of the public to have the HIVE passes.  She said there was a public announcement about that and it was going to be held April 3rd at 1:00 p.m.  She said the Council could indicate whether they were going to be there.  Dan Weist briefed the Council on what the announcement would be at the press conference.  Ms. Gust-Jenson asked if the Council wanted to receive some of the information before the press conference. Council Members wanted a phone briefing with more information.  Council Members were in favor of keeping the date of April 3rd
